Bookboost is the best hotel CRM in 2026 for hotels of about 60 rooms and up, because it publishes its per-room prices and includes 80+ PMS connections. Revinate and dailypoint fit upscale hotels and groups, Mews and Cloudbeds fit hotels that want the CRM inside their PMS, and HubSpot and Brevo are general tools.

We compared eight hotel CRM tools on guest data, PMS connections, email and SMS, consent tools, fit by property size and price. Every price below was checked on the vendor's own website on November 5, 2026, and "on quote" means the vendor publishes no figure. We did not run trials, and we could not open Cendyn's website, which blocked our browser, so it is not ranked.

Hotel CRM key figures 2026

Direct guests brought about half of European overnights in 2025 and cancel less often than OTA guests, which is why a hotel needs to know who they are. Most figures below come from the HOTREC study covering 2,713 European hotels, including 1,882 individual responses, published in September 2026.

  1. No. 1Bookboost

    Bookboost

Best forIndependent hotels of about 60 rooms or more and small groups that want a published per-room price for guest data, journeys and campaigns

Price€2.20 per room per month for the data platform (required), plus €2.80 for Journey and €1.80 for Broadcasts; €399 per month minimum; VAT treatment not stated (checked on November 5, 2026)

    Strengths

    • Unified guest profiles with deduplication, segments and lifetime value, built from 80+ PMS integrations included in the base price
    • Journeys and campaigns by email, SMS and WhatsApp, with a unified inbox as an optional module
    • GDPR consent management and EU hosting, according to Bookboost
    • Prices shown in euros, pounds, dollars and Swedish crowns, with no demo needed to see them

    Limits

    • The €399 monthly minimum applies to every hotel, which makes small properties pay more per room
    • The data platform is required, so there is no email-only plan

VerdictBookboost is first because it is the only specialist here that publishes a full price list and includes every PMS connection. Revinate recovers more OTA guest data on paper, but you have to book a demo to learn what it costs.

  2. No. 2Revinate

    Revinate

Best forUpscale hotels, resorts and groups that need to merge PMS, restaurant, spa and golf data and measure email revenue

    • Revinate Core merges duplicate profiles and unmasks OTA email addresses with machine learning
    • Integrates with 140+ PMS, spa, restaurant and golf providers
    • Revinate Marketing ties email campaigns to room nights and direct booking revenue
    • 12,500+ hotels worldwide and 17 years in hospitality, according to Revinate

    Limits

    • No public price, and the CRM is split across Core, Marketing, Pathways, Chat and Feedback, so the total depends on the modules
    • First implementation takes 45 to 90 days, according to Revinate

VerdictRevinate is the strongest pick for a group with messy guest data in several systems. A 25-room hotel will pay for depth it rarely uses.

  3. No. 3dailypoint

    dailypoint

Best forHotel groups and upscale independents, mostly in German-speaking Europe, that want one central guest profile with loyalty and marketing modules

    • Data Laundry cleans and merges guest records in real time
    • Modules for loyalty, campaigns, vouchers, bookings and online reputation
    • 1,500+ customers worldwide, according to dailypoint

    Limits

    • The references on its site are mostly luxury hotels, so a small property should ask for a comparable case

Verdictdailypoint fits a group or an upscale hotel that wants the guest profile and the loyalty programme in one place. It is more than a small B&B needs.

  4. No. 4Profitroom

    Profitroom

    • Loyalty module that works from the same guest data
    • GDPR and POPIA compliant, according to Profitroom

    Limits

    • No public price
    • Sold as part of the Profitroom suite, so ask whether it works without Profitroom's booking engine

VerdictProfitroom suits a hotel that wants CRM, booking engine and loyalty from one vendor. If you keep another booking engine, check the data flow before you sign.

  5. No. 5Cloudbeds Guest Marketing

    Cloudbeds Guest Marketing

Best forHotels on the Cloudbeds PMS that want guest profiles and email campaigns in the same platform

PriceOn quote; sold as a revenue marketing add-on, and the pricing page shows no figure (checked on November 5, 2026)

    Strengths

    • Unified, deduplicated guest profiles with stay history, email engagement and POS purchases
    • Segments by spend, room type, rate code, location and booking source, with OTA win-back campaigns
    • Drag-and-drop email editor and triggered campaigns from pre-arrival to post-stay
    • 20,000+ properties use the Cloudbeds platform, according to Cloudbeds

    Limits

    • No public price, and the page does not list which plans include it
    • Built on Cloudbeds PMS data, and the page does not say whether it works with another PMS

VerdictCloudbeds Guest Marketing makes sense if you already run Cloudbeds and want campaigns without a second tool. A hotel on another PMS should look at a standalone CRM first.

  6. No. 6Mews

    Mews

Best forHotels on the Mews PMS that want a clean guest profile and simple automations built in

PriceOn quote, tailored to the property; the pricing page shows no figure (checked on November 5, 2026)

    Strengths

    • One guest profile with stay history, preferences, spend and links between guests
    • Match and Merge removes duplicate records automatically
    • No-code automation builder, branded emails and SMS check-in reminders
    • Connection to select loyalty programmes

    Limits

    • Only available with the Mews PMS
    • The page describes check-in emails and SMS reminders, not segmented marketing campaigns

VerdictMews gives front-desk staff a reliable guest record and basic automations inside the PMS they already use. For a large campaign programme you will probably add a specialist on top.

  7. No. 7HubSpot

    HubSpot

Best forSmall hotels and sales teams that sell groups, events or corporate stays and want a general CRM with a free entry plan

Price€0 Free; Starter €7 per seat per month (limited-time 65% off, billed annually); Professional €90 and Enterprise €175 per seat per month, billed annually; VAT treatment not stated (checked on November 5, 2026)

    Strengths

    • Free plan with contact, company and deal records and two-way sync with dozens of apps
    • Starter adds segments, targeted email campaigns, simple automation and AI agents
    • Prices are published and billed per seat, not per room

    Limits

    • A general CRM, so stays, room types and OTA guest records must be brought in through a connection you set up
    • Costs rise per seat, and the Professional plan at €90 per seat is a large step from Starter

VerdictHubSpot works for a small team that sells groups and corporate stays and can import its own guest list. It does not read a PMS by itself, so ask the vendor which connector you would use.

  8. No. 8Brevo

    Brevo

Best forSmall hotels that mainly need email and SMS campaigns to an imported guest list, at a low monthly price

Price€0 Free; Starter €7, Standard €15 and Professional €499 per month on monthly billing, 10% less on yearly billing; VAT treatment not stated (checked on November 5, 2026)

    • Standard adds marketing automation, A/B testing and best-time sending
    • Segments by contact attributes, website activity and campaign engagement
    • Professional includes WhatsApp, 10 seats and contact scoring with RFM and lifetime value

    Limits

    • Its integration page names Shopify, WordPress, Stripe and Zapier, not a hotel PMS
    • Plans are priced by email volume and features, so guest data must be exported from your PMS

VerdictBrevo is the cheapest way to send a good newsletter to an existing guest list. It is a marketing platform, so keep your PMS as the source of truth for stays.

How we compared these hotel CRMs

We ranked each tool on how well it serves the hotels it targets, not on the length of its feature list. The facts come from vendor websites, pricing pages and the documents listed in the sources.

The criteria:

  • Guest data, meaning how the tool merges duplicate profiles and how many PMS and other systems it reads.
  • Messages, from email and SMS to WhatsApp, with automation and segments.
  • Consent and GDPR tools, such as consent management and EU hosting.
  • Fit by property type, from a 20-room inn to a multi-property group.
  • Published prices and contract terms, because a price you can read is easier to compare.
  • Evidence of results, where the vendor gives a method, and we say when it does not.

What is a hotel CRM?

A hotel CRM, short for customer relationship management software, is the system that keeps one profile for each guest across stays, booking channels and systems, then turns that profile into segments, emails, offers and staff notes. The PMS records the reservation and the folio, while the CRM records who the guest is and how they behave. In the vendors' own words, the profile combines stay history, preferences and spend, with data from the restaurant, spa or golf course when those systems connect, as on Revinate Core and in Cloudbeds Guest Marketing. A guest who stayed twice and spent €300 in your restaurant should get a different email from a first-time OTA booker, and your reception should know about the first stay before check-in.

Why does a hotel need a CRM when it already has a PMS?

The PMS only holds a guest for as long as the booking exists, and in 2025 direct channels generated 51.3% of overnights in European hotels, against 29.9% for OTAs, according to HOTREC's weighted estimates without chain data (HOTREC and HES-SO Valais-Wallis, European Hotel Distribution Study 2026, p. 5). The same study says the strongest direct performance sits with small independent hotels, where repeat guests and personal relationships matter most. Email alone brought 13.5% of overnights, and phone 14.1% (HOTREC 2026, p. 17). A CRM is where those email contacts live, so a hotel without one relies on whoever remembers to export the guest list. Independent hotels were 11,253 of the 14,886 hotels counted in France in 2025 and ran 60.2% occupancy, against 64.4% for chains (Insee, Parc et fréquentation des hôtels, July 23, 2026).

Is a returning guest worth more than a new booking?

Probably, although no source measures it for every hotel. Hotel websites produced an average of US$516 per booking in 2025 on SiteMinder's platform, against US$312 for OTAs (SiteMinder, Hotel Booking Trends), and SiteMinder also sells a booking engine ranked in our booking engine comparison. In the HOTREC survey, guests cancelled 9.1% of direct bookings in 2025, against 19.0% of Booking.com bookings (HOTREC 2026, p. 110). Chains invest heavily in this loop, since Marriott counted about 309 million Bonvoy members at the end of September 2026 (Marriott, Third Quarter 2026 Results, November 2, 2026). Booking Holdings spent US$7,027 million on marketing in the first nine months of 2026, against US$6,256 million a year earlier (Booking Holdings, Form 10-Q, November 3, 2026). A hotel with its own consented guest list can reach those guests without paying a marketing platform for each booking. Our hotel direct booking statistics break the direct share down by hotel size and country.

How much does a hotel CRM cost in 2026?

Published prices run from €0 on HubSpot Free to €6.80 per room per month on a typical Bookboost setup, and five of the eight vendors only sell on quote.

Hotel CRM Published price, checked 2026-11-05 Unit and period Notes
Bookboost €2.20 data platform, €2.80 Journey, €1.80 Broadcasts Per room per month €399 monthly minimum, VAT not stated
HubSpot €0, €7, €90, €175 Per seat per month, billed annually Starter price is a limited-time 65% discount
Brevo €0, €7, €15, €499 Per month, monthly billing 10% off on yearly billing, priced by email volume
Revinate, dailypoint, Profitroom, Cloudbeds, Mews On quote No figure on the vendor's site

The Bookboost pricing page lists the data platform at €2.20 per room per month and says it is required, with Journey at €2.80 and Broadcasts at €1.80. A hotel that takes all three pays €6.80 per room per month (our calculation from the page). The minimum fee is €399 per month, so the per-room price only applies from about 59 rooms (399 divided by 6.80). A 20-room hotel pays €399, which is €19.95 per room and €4,788 over 12 months, while a 100-room hotel pays €680 per month.

On HubSpot's pricing page, three seats on Professional cost €270 per month billed annually (3 times €90, our calculation), or €3,240 a year. Brevo charges for email volume and features instead of seats, which suits a hotel that sends one newsletter a month.

Which hotel CRM for an independent hotel under 60 rooms?

For a small hotel, start with the CRM your PMS already offers, then add a specialist only if you outgrow it. Mews builds a guest profile with Match and Merge, a no-code automation builder and branded emails into its PMS, according to the Mews guest management page. Cloudbeds sells Guest Marketing as an add-on, and its pricing page lists it under revenue marketing add-ons without a price. Both work only with their own PMS (Mews pricing shows a quote form, not a price), and 20,000+ properties use the Cloudbeds platform, according to Cloudbeds.

If you run another PMS and send a newsletter to a guest list, Brevo at €15 per month for Standard costs less than Bookboost's €399 minimum. You then export the list yourself, and Brevo's integration page names Shopify, WordPress and Stripe, not a hotel PMS. For a property near 60 rooms or more, Bookboost's per-room price starts to apply, and its 80+ PMS integrations are part of the base price. Our hotel PMS comparison covers the PMS side.

Which hotel CRM for an upscale hotel, resort or group?

Hotels with several systems and many guest records need the cleaning step more than the email editor. Revinate says Core merges duplicates, including masked OTA emails, and that more than 1 million OTA profiles were merged, with 30%+ of guests reachable after OTA email unmasking (Revinate Core). Revinate also says it supports 12,500+ hotels and needs 45 to 90 days for a first property (Revinate). These are vendor figures with no published method.

dailypoint, headquartered in Munich, says it has 1,500+ customers, 200+ integrations and has built central data management since 2005 (dailypoint, about us). It lists 2-way links with 30+ PMS providers, and for systems such as Oracle Opera or Protel it says it cleans data inside the PMS itself (dailypoint, hotel CRM). Profitroom's Smart Guest Database recaptures email addresses from OTA bookings and sends them to its email tool, and it makes most sense for hotels that already run Profitroom.

Can a hotel send marketing emails to its past guests?

A hotel needs a legal basis first, and for private guests in France that basis is prior consent in most cases. The CNIL, the French data protection authority, says electronic prospecting requires consent that is free, specific, informed and unambiguous, given by a positive action such as a ticked box that is not pre-ticked, and that accepting general terms does not suffice (CNIL, La prospection commerciale par courrier électronique, SMS-MMS et automate d'appel, June 10, 2026). One exception covers existing customers and similar products or services from the same company. The CNIL adds that creating an online account alone does not count as a sale. Under the GDPR, infringements of the consent conditions can bring a fine of up to €20 million or 4% of worldwide annual turnover, whichever is higher (EUR-Lex, Regulation 2016/679, Article 83).

None of these tools makes a campaign lawful on its own. Bookboost lists GDPR-compliant data management and EU hosting, Revinate lists GDPR and CCPA workflows, and Profitroom says it complies with GDPR and POPIA, all according to the vendors. Rules for UK guests and for B2B contacts differ, so check them with your data protection officer.

What should you check before signing a hotel CRM contract?

Get six answers in writing before you sign. A cheap plan that cannot read your PMS will cost more in staff time than it saves.

  1. Ask which PMS, booking engine and restaurant systems the vendor reads, and whether the link is one-way or two-way.
  2. Ask how it handles masked OTA email addresses, and what share of your guests it can reach after cleaning.
  3. Ask for the monthly minimum, the per-room or per-seat price, the SMS and WhatsApp fees and the notice period.
  4. Check where guest data is hosted, and how consent is recorded, stored and withdrawn.
  5. Ask for one reference hotel of your size and type, with a measured result and its method.
  6. Test one segment and one automated email on a copy of your guest list before you roll out.

Start with your PMS export from the last twelve months, count how many guests have a valid, consented email address, and ask two vendors to quote on the same basis. A small hotel can open a HubSpot Free account or ask its PMS vendor for the guest module. A larger property should ask Bookboost and Revinate to show a live segment built from its own data. Our channel manager comparison covers the distribution side of the same data.

Frequently asked questions

What is the best CRM for a hotel?

For a hotel of about 60 rooms or more that wants a published price, Bookboost is our first pick at €2.20 per room per month for the data platform, with a €399 monthly minimum. Revinate and dailypoint suit upscale hotels and groups with data in several systems, and Mews and Cloudbeds suit hotels that want the CRM inside their PMS.

What is the difference between a PMS and a hotel CRM?

The PMS runs the stay, with reservations, rooms, billing and housekeeping. A hotel CRM keeps one profile per guest across stays, channels and systems, then uses it for segments, emails and offers. Many PMS vendors now include basic guest profiles, as Mews does, while specialists add cleaning, segments and campaigns.

How much does a hotel CRM cost?

Published prices run from €0 on HubSpot Free to €2.20 to €6.80 per room per month on Bookboost, with a €399 monthly minimum. Revinate, dailypoint, Profitroom, Cloudbeds and Mews only sell on quote. Brevo starts at €7 per month, and its Professional plan costs €499 per month.

Can a hotel email its past guests without asking?

Not in most cases. The CNIL, the French data protection authority, says marketing email to private individuals needs free, specific, informed and unambiguous consent, with one exception for existing customers and similar services. Under the GDPR, fines can reach €20 million or 4% of worldwide annual turnover.

Can a CRM use the email addresses of OTA guests?

OTAs often send a masked email address, which cannot be used for marketing. Revinate says its tool unmasks these addresses, Profitroom recaptures email addresses from OTA bookings, and Cloudbeds runs OTA win-back campaigns. Consent rules still apply to every message you send.

How long does it take to set up a hotel CRM?

Revinate quotes 45 to 90 days for a first property, and says its customers reach measurable return about 90 days after signing. Mews and Cloudbeds profiles come from the PMS you already run. For any vendor, test one segment and one automated email before you roll out to all your properties.
